Translation and legalization have different purposes
Sworn translation is a translation certified by an authorized translator. It does not certify the authenticity of a foreign document and does not replace the apostille, legalization or recognition of a diploma. First find the requirements of the service for which you are preparing the document: the same diploma for the employer and for the recognition of qualifications may require different actions.
Do not order a translation of all pages “just in case”. Write down which documents and parts of the document are named in the list or wezwanie. If the wording is unclear, send the authority a specific question: is a translation of the diploma annex, certificate turnover, stamp or correction required? This can avoid paying for unnecessary pages.
Find a translator in the official register
The Ministry of Justice publishes a list of sworn translators. In the section “Find a sworn translator” select the language and check the name of the specialist found. The very name of the office "official translations" does not prove that the certification will be made by a person from the register. Specify who will sign the translation.
The specialist can work with customers all over Poland; the proximity of the office is not always more important than the method of delivery. If you require a paper original, please arrange the shipment and delivery date in advance. If the institution accepts an electronic document, ask for an electronic certificate form, not just a photo of a paper sheet.

What to write when ordering
- Name the institution and purpose: application for residence, registration of an act or other specific service.
- Send a readable scan of all the required documents, including stamps and attachments.
- Ask for the total cost, duration, number of certified copies and method of delivery.
- Specify whether the original will be required and how the translation from the copy will be marked.
- Give the spelling of the name in Latin from the passport and indicate the differences between the documents.
Check the translation before submitting
Check the name, date and place of birth, document numbers and date of issue. A difference of one digit could cause the agency to ask for clarification. Also make sure that the marked-out or attachment you submitted is translated. Do not correct the certified text with a pen: send the translator a list of errors with photos of the appropriate places.
The cost of a private order is determined by agreement, so there is no universal price for "passport translation" here. Compare the total cost, not just the rate per page: urgency, delivery and additional copies can be paid separately. Ask for confirmation of order and payment.

How to file without a circle
Keep the source document, certified translation and their scans separately. For the case number, indicate to which document the translation relates. If the authority has rejected it, ask for the exact reason: inappropriate type of certification, incomplete text or discrepancies in data require different corrections. Do not pay for a new translation until it is clear what exactly did not fit.
