First find five things

On the first page mark the authority, addressee, znak sprawy, date and title of the document. Then find out what they want from you, the deadline and the way of answering. The date in the header of the letter and the date of delivery may differ; keep the envelope or electronic proof of delivery to calculate the time.

Do not translate the entire text line by line first. Compile a card: "who - on what case - what action - until what time - where to send". After that, look at the legal basis. Thus, a complex paragraph with an article number does not conceal a simple requirement to attach a document.

Words that change action

  • Wezwanie – a call or demand to perform a specified action; it is not always a refusal.
  • Uzupełnienie braków — Completion of the missing; list each item separately.
  • Stawić się osobiście means to attend in person; sending a scan does not replace a visit.
  • Decyzja means a decision; read the outcome and the pouczenie instructions.
  • Pouczenie – instructions on the rights, time limits and method of appeal.
  • Sygnatura / znak sprawy — the case number to be repeated in the reply.

Decompose the combination “action + document + time”

Editorial example: “Proszę przedłożyć kopię paszportu” – you are asked to provide a copy of your passport. “Originał do wglądu” means the original for verification, not necessarily the permanent delivery of it. “W terminie … od doręczenia” links the deadline to the delivery. The period in the example does not give you a universal deadline: re-write the number from your letter.

If three documents are listed, make three lines of checks. Note the words “lub” – or, “oraz” – and, “jeżeli” – if. They help not to collect alternative documents as a mandatory set and not to miss the condition that applies specifically to your situation.

How to prepare a short reply

Please specify the authority, your name and the case number. Write what letter you are replying to, list the attachments and sign in the prescribed way. Example of an introductory phrase: «In response to the summons dated …, case number …, I submit …». Fill in real dates and titles, not leaving the example as a ready-made legal document.

If an item is unclear, ask a specific question: “Czy wymagane jest tłumaczenie całego dokumentu, czy wyłącznie wskazanej strony?” This asks whether the whole document or only the specified page needs translating. Do not send a simple request to explain the process instead of executing it; the question itself does not guarantee a deadline stop.

Automatic translation is useful, but requires verification

Use it for understanding, then check the numbers, negations, and conditions. The words " nie ", " chyba że ", and references to paragraphs are particularly likely to change meaning. Do not upload your passport and all your personal documents to a random service for the purpose of translating a single phrase.

If the letter contains a refusal, an appeal or a question about the legality of the stay, show the original to the competent advisor together with the date of delivery. Here it is important to keep pouczenie entirely: one universal "14 days for any letter" is not correct. Use the channel specified in the procedure to respond; in 2026, ePUAP and ordinary email are not a universal replacement for e-Doręczenie or a specialized MOS.
